Duplicate order
What is duplicate order?
A duplicate order is the same customer order received or captured more than once, which, if not caught, leads to goods being picked, delivered and invoiced twice. Duplicates arise for ordinary reasons: a customer resends an order that seemed not to go through, two people at the same customer place the same order, or an order arrives by both email and WhatsApp.
They are not always identical, so detection has to compare content, not only reference numbers.
Why it matters
A duplicate that slips through costs a wasted delivery, a return and a credit note. One flagged too eagerly can hold up a genuine repeat order. Both need a person to decide, with the evidence in front of them.
How Weeva handles it
Weeva compares the PO number, customer, dates, totals and lines against recent orders and flags a likely duplicate before it is captured. A person confirms or dismisses it. On WhatsApp it also compares timing, so a forwarded repeat is not captured twice.
