USE CASE · SALES ORDER AUTOMATION

Handwritten and scanned orders, read and posted to your ERP.

Order book pages, handwritten sheets, skewed scans and photos taken in poor light. Weeva reads them, matches every line to your catalogue and creates the sales order in your ERP, with unclear fields shown to a person first.

Illustrative example: a fictional customer's purchase order read line by line, each line matched to a catalogue SKU with a confidence score, with uncertain lines held for review.

Can AI read handwritten purchase orders?

Yes. Weeva reads handwritten order sheets, order book pages, scans and phone photos the way a person reads a page: it uprights the image, reads every line and scores every field. Fields read with high confidence move on to matching; a smudged quantity or an unclear word scores low and waits for a person before anything reaches your ERP.

Which handwritten and scanned orders can Weeva read?

  • Handwritten order sheets and order book pages
  • Scanned printed purchase orders, including skewed and multi-page scans
  • Phone photos sent by email, WhatsApp or upload
  • Order books photographed one page at a time
  • A customer's own shorthand and product names
  • Orders written without prices, priced from that customer's list

What happens when the handwriting is unclear?

  • Every field is scored.

A clearly written code scores high; a smudged quantity scores low.

  • Low confidence goes to a person.

The reviewer sees the image beside the reading and confirms the value.

  • Nothing is invented.

Totals are reconciled against the lines, and a figure that does not add up is flagged, never filled in.

  • Settled once, then remembered.

A shorthand or product name your team confirms is kept for that customer.

Fictional example

At 06:58 Kliprand Hardware Supply emails scan_3349.jpg, a handwritten order sheet over two pages. Weeva uprights both pages, reads the lines and matches them to your catalogue. One quantity is smudged and scores low, so it waits for a person; the other lines are ready. Your order desk checks that quantity against the image, and the sales order posts to your ERP.

What order desks ask about handwritten orders.

How accurate is it on handwriting?

Very accurate, but it depends on the handwriting and the image, so we do not publish one figure. Every field Weeva reads carries a confidence score, and anything below the threshold you set goes to a person with the image beside the reading. During the parallel run we measure it on your own documents, so you see the result before you switch over.

Does it work with photos taken on a phone?

Yes. Photos taken on a phone at an angle or in poor light are uprighted and read, whether they arrive by email, WhatsApp or upload. Scanned printed orders, including multi-page scans, are read the same way. If a page is too unclear to read safely, the order is set aside for a person rather than half-read.

Does Weeva learn a customer's handwriting?

It learns what they mean, not their pen. When your team confirms that a customer's shorthand or product name means a particular SKU, Weeva remembers it for that customer, along with their units and pack sizes. The next order with the same wording resolves without review, even when the handwriting differs from one week to the next.

What if an order runs over several pages?

A multi-page scan is read as one order with every line. When a customer photographs an order book one page at a time and sends the photos on WhatsApp a few seconds apart, Weeva holds images from the same customer together while more keep arriving, so a three-page order becomes one order with every line.
